Vendors must prep, cook, serve and package food or beverages from a food truck. Food truck vendors must provide their own electricity throughout the event, hand washing station, and display their Food Permit and General Excise Tax License in their display window. All Special Event Food Establishment requirements by the State of Hawaii Department of Health must be in compliance.
FOOD TRUCKS – DESIGNATED SPACE: Each food truck vendor will have a designated 10ft x 30ft space. If you require a space larger than 10ft. x 30ft., please contact Charming Events Hawaii directly. Vendors requesting additional space may be required to purchase a second food truck space.
All food truck vendors must provide their own necessary equipment to operate, including but not limited to generators, extension cords, chairs, lighting etc. No source of power or additional lighting will be provided throughout the event. Please bring your own lighting and generators
Food Booth vendors must provide their own TENT, lighting, equipment, extension cords (if needed), hand-washing station, and display their Food Permit and General Excise Tax License at their booth. All Special Event Food Establishment requirements by the State of Hawaii Department of Health must be followed.
FOOD BOOTHS – DESIGNATED SPACE Each food booth vendor will have a 10ft x 10ft space. If you require a space larger than 10ft. x 10ft., please contact Charming Events Hawaii. directly. Vendors requesting additional space may be required to purchase a second booth.
All food booths must provide their own necessary equipment to operate, including but not limited to their own TENT extension cords, chairs, lighting etc. No source of power or additional lighting will be provided throughout the event. Please bring your own lighting and generators
ALL vendors need to have an up to date 2_A 10-B:C Fire Extinguisher. Food vendors conducting deep-fry, open flame, gas, or electric cooking must have an extinguisher with a Class-K rating on-site. Food vendors MUST have a barrier around all cooking appliances and open flames. Barriers must create a minimum of (6) ft of space between the general public and all cooking appliances and be at least (3.5) ft tall from the ground and higher than the heated area or open flame. Vendors are responsible for creating a solid continuous barrier surrounding all cooking appliances. If the above fire safety requirements are not met, vendors will be asked to leave the event without a refund. Charming Events Hawai’i will NOT have additional or available barriers on-site. Please rent barriers if there is any question of necessity.
Retail vendor items sold do not need to be hand or locally-made. Each Retail booth will be able to bring 2 6ft tables only and it will need to set up the tables as an L shape. All vendors must provide their own table, linen, equipment, fire extinguisher, extension cords (if needed), and display their General Excise Tax License at their booth. All tables MUST be lined.
A refundable cleaning deposit of $100 must be submitted no later than 3 days prior to the event date. Cleaning deposit checks will not be cashed unless deemed necessary by the Charming Events Hawaii Event Team. All cleaning deposits must be made out to Charming Events Hawaii and mailed to the Charming Estate at 770 Auloa Rd. Kailua, HI 96734.. Each company will receive notification via email within 3-5 business days following the event with the status of their cleaning deposit. Returned cleaning deposits will be sent to the above Company Mailing Address.
No refunds will be issued once payment has been submitted. The only time in which a vendor will receive a full refund is if Charming Events Hawai’i chooses to cancel the event entirely.
CERTIFICATE OF LIABILITY INSURANCE (COI) All participating vendors must have General Liability Insurance with limits of at least $1,000,000 occurrence and $2,000,000 aggregate. All vendors must issue a certificate of insurance naming the following as a Certificate Holder/ Additional Insured for Charming Events Hawaii Corp. and Royal Hawaiian Golf Club. Additional Insured in favor of: Royal Hawaiian Golf Club 770 Auloa Road Kailua, HI. 96734 Each vendor COI must be submitted no later than 72 hours prior to the event date
**All participating vendors must enter between 2:30pm - 4:30pm. **Any vendors arriving AFTER 4:30pm will not be permitted inside the event area. All vendors must be completely set and ready to go by 5:00pm.
All vendor trash must be removed at the conclusion of the event by each vendor. There will be no dumpster on site. Vendors must take all trash off property with them. Non-compliance for trash removal by vendors may result in an additional cleanup fee of $300.
All ICE, OIL and FOOD debris must be completely removed from the event site. Vendors are prohibited from dumping any ice, oil and food debris on, near, or around event area, grass, or sidewalk areas. Precautionary measures should be taken in order to prevent oil spills on any event area streets or sidewalks. An excess of OIL spills on event area streets or sidewalks may result in an additional cleanup fee.
The market can get busy soon after opening; arriving early ensures you have the best selection of food and crafts.
Many food trucks and stalls prefer cash payments, so carry some small bills for convenience.
The market is outdoors with uneven surfaces; sturdy shoes make walking and standing more comfortable.
Evening showers are possible on Oahu’s windward side; bring a light rain jacket or umbrella.
