FACILITY AVAILABILITY
Any renter who enters the facility prior to or after the rented date and time will incur an additional fee for the hourly rate of the facility.
Storage of any items at the facility the day before the rental date or day(s) after the rental date will not be permitted. No materials may be stored in reference to the rental.
Community building rental hours are from 8:00 am until 11:00 pm the date of the rental. Setup and cleanup time MUST take place during the building rental hours. The Senior Lounge is only available after 5:00pm on weekdays, and all day Saturday or Sunday.
The facility must be cleaned and vacated no later than 11:00 pm.
Facilities will not be available when a WPARD program or other approved activity is being conducted.
WPARD reserves the right to deny requests for facility use on City recognized holidays.
Requests will not be granted to renters that have exhibited unacceptable conduct during previous rentals at City of Wimberley facilities.
Parking is not guaranteed due to other events or activities being held in the facility on the rental date.
FACILITY RULES
All City of Wimberley rules and ordinances must be followed.
Tobacco products are prohibited on all park properties including but not limited to smoking, vaping, and any dip/chew products.
Substances of an explosive or flammable nature are prohibited from use in any City of Wimberley facility or park, including but not limited to open flames, fireworks, or projectiles.
Use of tape or other adhesives, nails, tacks, screws or similar articles on interior or exterior surfaces is not permitted. Nothing may be attached to or hung from the ceilings or lighting fixtures or on the walls.
The use of sound amplifying equipment must be kept within reasonable levels as described in the park ordinances and rules.
Authorized park personnel must pre-approve any equipment, play structures, animals, etc. for use at WPARD facilities.
Users are to remain in assigned area(s) and are responsible for supervising all guests of their event so as not to interfere with other on-going activities/events.
All activities must comply with posted occupancy limitations. Any event that exceeds building capacity may be terminated without notice. No fees will be refunded for time lost due to non-compliance of this policy.
Items absolutely not allowed include glitter, cotton candy, confetti, rice, and bubble machines.
Alcohol
Types of alcohol are restricted to beer, wine, and champagne.
A Certified Peace Officer MUST be secured through Hays County if ANY alcohol is present at any time during your reservation.
Complimentary alcohol may be served at your event with a meal or a champagne toast. Bringing any alcoholic beverage into a function not approved in the original Use Agreement will result in the event being immediately canceled and all fees will be forfeited. No alcohol shall be served to or consumed by individuals under the age of 21. All alcohol must remain only in the room specified for such use in the rental agreement. Complimentary alcohol is not allowed outside the Facility.
Selling Alcohol: Any applicant who will be selling alcohol (i.e., cash bar, tickets, and drinks for a fee) is required to provide alcohol liability insurance and a license from the Texas Alcoholic Beverage Commission (TABC). Liquor sales must, by law, be conducted by an entity licensed to do so by the TABC. If the applicant and/or seller are not licensed, the applicant must contract with a licensed person to conduct any liquor sales. Any questions as to the need for, and requirements for obtaining the appropriate Alcoholic Beverage Control license(s) should be directed to the TABC.
The applicant must provide a copy of the TABC permit to Facility Reservation personnel fifteen-(15) days prior to the event if liquor is to be sold.
The TABC license must be posted in plain public view near the bar, or any other location where liquor is being served during the event.
Liquor may NOT be served to minors. The applicant's failure to comply, monitor, and enforce this law is grounds for terminating the event and forfeiting all deposits and fees. Injuries caused to any person as a result of alcoholic beverages being served and/or consumed by a minor on City premises shall be the sole responsibility of the applicant, user, group, organization, its sponsors, or the adult representative.
Alcohol may be served and consumed only in the room specified for such use in the rental agreement. Facility staff and, if required, Security Guards will be monitoring the event and have the authority to suspend the serving or selling of liquor and/or close the event. If it is necessary to contact the Hays County Sheriff’s Department for any disturbances caused by the rental applicant, clients, or guests, the applicant will be held liable for all police and additional charges incurred by the City.
Deposits
All facility rentals require a $100 deposit that is due at the time of reservation. Johnson Hall requires a $300 deposit.
Deposits will be refunded in full if Wimberley Parks and Recreation (WPARD) reports the facility in the same condition as when you arrived. If any of the following or other damages are found, the deposit will not be refunded:
Damage to the facility, furnishings, equipment, grounds, etc.
The facilities, furnishings, grounds are not left in as clean a condition (as what was found upon rental).
The renting individual or organization is responsible for the conduct of its participants and guests. If any rental guest or participant displays improper conduct as determined by recreation staff. Improper conduct shall include, but not limited to, abusive or threatening language, physical violence, lewd behavior, or apparent intoxication.
The renting individual or organization will be monetarily responsible for any damage that occurs during the course of the rental.
If damages and/or clean-up cost is more than the deposit required, the renter will be billed for the difference. Renters will not be allowed to use any City of Wimberley facilities or participate in any Park and Recreation activity until all damage fees are paid.
